At R.I.M. Porter Novelli our objective is to provide value adding PR services to our clients.
We develop long-term strategic business partnerships that contribute to your success, and we work in close cooperation with you to develop creative ideas and products for your positive image management.
There are two forms of cooperation between our agency and our clients:
• ongoing service support, i.e. retainership agreements involving monthly PR consulting and support services to supplement clients’ marketing activities,
• project management, i.e. providing scheduled and robust support in order to ensure the timeous, effective and professional delivery of a project for the client.
Our processes are transparent and we strive to involve the client in these systematically, as we believe a solution must be built together – ourselves with our client.
Where long-term service support is required, the parties agree upon the fee, scope and duration of the contract, the composition of the agency project team, the approximate volume of work and man-hours involved, and a clear objective and strategy for the project. Direct costs are billed by the agency at "actuals".
Efforts are made to set up a clear correlation between work completed and fees agreed. A standard format showing fixed monthly costs, tasks completed, employee timesheets and agreed hourly rates is used to provide a clear and mutually satisfactory understanding of cost and work activity to the client. This eliminates the possibility of any misunderstood expectations on the part of either party.
In case of project management, the agency manages specific tasks in accordance with the client's terms of reference, work schedule, and project budget. The project management format is used where the agency is approached with stand-alone projects that have dedicated budgets.
We realize that our success depends on efficient delivery of a well-designed concept with interesting ideas and creative solutions. Working closely with our client we acquire a deep understanding of our clients business and history of the task or issue. Our dedicated planning and research discipline, coupled with intelligent planning and a clear understanding of the media, helps deliver an "on-target strategy" to the client.
Proposals, letters of intent, detailed concepts and contracts are prepared, discussed and agreed, in writing, with the client:
- Each project starts with understanding the history of the task or issue, followed by an analysis of the situation and information environment of the client. While most clients come with ready-made terms of reference, in some cases, the agency develops these with the client, using a standard questionnaire.
- The Agency prepares a credential proposal for review, usually a 5 to 10 page memorandum describing activities and resources available.
- Acceptance of the proposal leads to signing a letter of intent detailing cost of concept development, the creative concept and contract signing date
- The agency develops a detailed concept including a content concept, an operation plan, list of reports, cost estimate, the work team and task and payment schedule for the client's approval.
- With the approval of concept, objectives and shared approaches to the joint work strategy are discussed and a contract is prepared which includes a project budget.
- The account manager organizes and manages all work for the client. The work team is supervised by a director of the agency.
- Efficient project management and coordination with the client's goals are essential elements of a successful PR strategy. To develop impactful ideas and campaigns, the agency organizes in-house brain-storming sessions, often inviting client participation.
- "On-time" and "in-full delivery" involves efficient planning and timely implementation of events and activities within the framework of project scope and imperatives.
- Quality reporting, timely follow-up and critical analysis of event effectiveness, all form part of a "job well done".
